Keep MedTrainer. Replace the credentialing part.

This page is mostly for people who already have MedTrainer, like it, and have quietly given up on its credentialing module. You do not have to choose between the two products, and in most cases you should not.

The short version

MedTrainer is three products in one: a learning management system, a compliance suite, and credentialing. The first two are why it is the top-rated healthcare compliance platform on G2 across more than 32,000 facilities. They are also things RosterSafe does not do and never will.

The third is the one its own users complain about. If credentialing is the part that is not working, the fix is not to rip out a platform your staff rely on for training and policies. It is to stop making that platform do the one job it is weakest at.

Why this comes up

1. Their credentialing module is the part their own fans like least

This is worth taking seriously precisely because it does not come from angry customers. A Provider Relations Manager with over two years of use, who rated MedTrainer 5 stars overall, wrote:I do not like the Credentialing features. They aren't really functional. An owner of a medical practice, also at 5 stars, noted that sometimes the customer service isn't as fast as I would like for credentialing specifically.

The pattern is not that MedTrainer is a bad product. It is that credentialing appears to be the weakest of its three modules, and people who are otherwise happy say so in public.

2. It was never shaped for a firm running other people's rosters

MedTrainer is bought by a facility to manage its own workforce. Its credentialing tracks across that facility's departments and locations, which is the right model when the clinicians are your employees.

A billing or RCM firm is a different shape. You have no clinical workforce to train. What you have is many separate client practices, each with its own roster, each needing its own view, all needing to roll up so nobody checks twelve dashboards on a Monday. MedTrainer does not market to billing companies or RCM firms anywhere on its site, and the credentialing module reflects that.

In RosterSafe the client practice is a core object, the cross-client rollup is the default view, and you can hand a client a read-only login pinned to their own roster. That pinning is enforced by the database, not by hiding a menu item.

3. You can try the fix without touching your MedTrainer contract

MedTrainer has no free version and no free trial, and one reviewer describes a one-year initial term where a further year activated automatically at renewal. Whatever you think of that, it means experimenting is not cheap.

Which situation are you in?

Keep doing credentialing in MedTrainer if

  • You need CAQH integration that populates provider profiles. I do not have it.
  • You need automated primary source verification. I do not do verification at all.
  • You need clinical privileging workflows. I deliberately do not build them.
  • You want somebody to run credentialing for you. They offer that service; I do not.
  • You are a facility credentialing your own employed clinicians, and it is working.

Add RosterSafe alongside it if

  • You are a billing or RCM firm accountable for rosters across many separate client practices.
  • You keep exporting to a spreadsheet to get the view you actually need.
  • You want to set your own alert windows and be told again after a deadline passes.
  • You want a client to see their own roster without seeing anyone else's.
  • You want to test it on one real provider before spending anything.

Where MedTrainer is ahead

Collected in one place so you do not have to infer it from what I left out.

  • Scale and track record. More than 32,000 healthcare facilities, 4.3 out of 5 across 148 Capterra reviews, ranked first in healthcare compliance software by G2 reviewers and placed 34th out of 2,452 products in G2's 2026 Best Software List.
  • Breadth. Training, policy management, incident reporting, contracts, and accreditation. None of which I do, which is the whole reason this page tells you to keep them.
  • Credentialing depth. CAQH integration, automated primary source verification, and privileging. Three real capabilities I do not have.
  • Managed credentialing services. They will do the work for you. RosterSafe is software only, by design.
  • Implementation. G2 reviewers rank them first for implementation and user adoption.

Mentioned for completeness rather than as a claim I have verified: several MedTrainer reviewers report performance problems, including software is slow many times and continual problems with course freezing. Those complaints are mostly about the learning module rather than credentialing, and I have not tested any of it myself.

Questions about running both

Do I have to cancel MedTrainer to use RosterSafe?
No, and for most people that would be a bad idea. MedTrainer is three products: a learning management system, a compliance suite, and credentialing. If you bought it for staff training and policy management, those are not things RosterSafe does or ever will. Keep MedTrainer for what it is good at and use RosterSafe for the credentialing your firm runs across client practices. Nothing needs to be migrated out.
Is it not wasteful to pay for two products?
It is a real cost and worth doing the math on. RosterSafe is $25 per active provider per month with a $100 monthly minimum, so 20 providers is $500 per month on top of whatever MedTrainer costs you. Set that against one provider going non-billable, where claims deny from the expiry date and re-enrolling with the payer runs 90 to 120 days. If your credentialing is already running smoothly in MedTrainer, do not add a second subscription. This is for firms where it is not.
Which one has more credentialing features?
MedTrainer, in three concrete ways. It has CAQH integration that populates provider profiles, automated primary source verification of DEA and state licenses, and full clinical privileging workflows. RosterSafe has none of those. If any of those three is what you need, MedTrainer is the better tool and you should keep using it for credentialing too.
So what does RosterSafe actually do better?
It is built for a different shape of business. MedTrainer is bought by a facility to manage its own workforce, and it tracks across that facility departments and locations. By most measures yes. It holds 4.3 out of 5 across 148 Capterra reviews, serves more than 32,000 facilities, and G2 reviewers rank it first in healthcare compliance software. The criticism relevant to this page is narrower: several reviewers single out the credentialing module specifically as weaker than the rest, including a Provider Relations Manager of two years who rated the platform 5 stars overall and still said the credentialing features are not really functional.
